We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide dedicated support to the Global Head of Human Resources (GHHR). This pivotal role requires an individual who can effectively balance high-level executive support with active involvement in HR operations and projects.
Leave Schedule and Administration
- Maintain and monitor leave schedules and records for the GHHR office.
- Ensure compliance with company leave policies and timely approvals.
Calendar Management
- Oversee and manage the GHHR’s calendar, scheduling meetings, interviews, and appointments with internal and external stakeholders.
Travel Coordination
- Plan, coordinate, and book complex travel arrangements including flights, accommodation, transportation, and visas, ensuring cost-effectiveness and compliance with company policies.
Employee Engagement
- Assist in the design and execution of employee engagement initiatives to foster a positive and productive work environment.
Meeting Management and Documentation
- Prepare agendas, take detailed minutes during meetings, and ensure timely distribution of action points and follow-ups.
HR and Events Management
- Provide logistical and administrative support for HR and management events, including planning, coordination, invitations, and follow-ups.

Interview Scheduling and Coordination
- Manage the interview process, scheduling candidate interviews, coordinating panel availability, and ensuring all materials are prepared.
Contract Administration      Â
- Draft, review, and manage employment agreements, consultancy contracts, vendor agreements, and other business-related contracts in collaboration with relevant departments.
Employee Relations and Support
- Act as a first point of contact for employee inquiries regarding benefits, leaves, disciplinary procedures, and other HR matters.
Qualification
- Bachelor’s degree or equivalent qualification in Business Administration, Human Resources, Communications, or related field preferred.
- Proven experience (typically 3+ years) in an Executive Assistant or similar administrative support role, ideally supporting senior executives.
- Exposure to Human Resources functions and processes preferred.
- Experience managing complex calendars, travel arrangements, and meeting logistics.
- Demonstrated event planning and coordination experience.
- Experience working in startup or fast-growing companies is an advantage.
- High emotional intelligence with the ability to handle sensitive information discreetly.
- Ability to adapt to a fast-paced, dynamic work environment.
- Willingness and ability to travel domestically and internationally as required.
